This role offers the unique opportunity to join early and support the Chief Nursing Officer, Chief Financial Officer, Chief Operating Officer, and Associate Vice President as they prepare for hospital readiness and opening. You’ll play a key part in shaping the success of our newest hospital while working alongside an experienced executive team.

Job Summary
The Executive Assistant provides advanced administrative and confidential support to senior leaders, performing diversified duties that require discretion, initiative, and broad organizational knowledge.

Responsibilities

 

Essential Functions

  • Plan, coordinate, and carry out a wide range of administrative functions supporting executive leaders.

  • Perform significant administrative duties with multiple priorities and deadlines.

  • Draft, edit, and prepare correspondence, reports, presentations, and other documents.

  • Create and maintain spreadsheets, databases, and presentation materials.

  • Organize meetings, distribute materials, arrange travel, and transcribe minutes.

  • Coordinate special events and assist with hospital readiness activities.

  • Serve as a key liaison with senior management, board members, and external contacts.

  • Manage executive calendars, appointments, and itineraries.

  • Handle confidential information with discretion and professionalism.

  • Assist in preparation and monitoring of departmental budgets.

  • Provide guidance and direction to clerical personnel within the department.

Other Related Functions

  • Maintain departmental policies, procedures, and accurate records.

  • Prioritize workload to effectively manage multiple assignments.

  • Participate in professional growth opportunities and training.

Qualifications

Education/Training

  • Associate’s degree required.

  • Two (2) years of customer service, administrative, or secretarial experience may substitute for the degree (in addition to required experience).

  • High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Access).

Experience

  • Minimum of five (5) years of customer service, administrative, secretarial, or related experience.
